Step by step
Check your Calendly plan
Booking through Calendly from another app needs a paid Calendly plan (Standard, Teams or Enterprise). On the free plan the setter cannot place bookings: when Calendly says so, SetMore AI warns you as you pick an event type, and a booking Calendly refuses is always handed to you instead of confirmed.
Create a personal access token in Calendly
Sign in to Calendly, open Integrations, and choose the API tile. Press Get a token now, or Generate new token if you already have one. Give it a name you will recognise, such as SetMore AI.
Tick the permissions SetMore AI needs
Calendly asks which permissions the token gets. Tick users:read, event_types:read, availability:read, scheduled_events:read and scheduled_events:write. If your team shares event types in one Calendly organization, also tick organizations:read so every rep's event types and bookings show up. Then create the token.
Copy the token straight away
Calendly shows the token once. Copy it before you leave the page. If you lose it, create a new one; the old one keeps working until you delete it in Calendly.
Paste it in Settings, Calendar
You need to be an owner or admin. In SetMore AI open Settings, Calendar, paste the token into the Calendly box and press Connect Calendly. You see Connected as, followed by your Calendly email.
Pick the event type the setter books
Choose one of your one-on-one event types, including round robin team events, and press Use this event type. The Calendly box now says Booking here. Group events are not listed, because cancelling one booking on them would cancel everyone's call.
Test it
Text your number and ask for a call. The times offered are your open times on that Calendly event type. Pick one, give an email when asked, and check the call appears in Calendly and in Appointments.
What the setter does with Calendly
Your availability, your connected calendars and round robin all stay in Calendly. The setter reads the open times of the event type you picked, books the time the lead chooses, and the call shows up in Calendly like any other booking. Calendly sends the lead its usual confirmation email.
Before booking, the setter asks for the lead's email, because Calendly needs one on every booking. If your event type has required questions, the setter asks those too, one at a time, in plain words.
Leads who booked on your Calendly page
If someone books on your Calendly page and then texts your number, the setter finds their booking by the email or phone they used, and answers questions like when is my call, who is it with, and where is the link. If they want a different time, it can move the call for them.
When a booking cannot be confirmed
If Calendly says the time was just taken, the setter offers the next open times. If Calendly refuses the booking or does not answer, the setter never tells the lead they are booked; it tells them someone will confirm the time and the conversation is handed to you.
Which calendar books when you have several
A chosen Cal.com event type books first, then a chosen Calendly event type, then Google Calendar, then a CRM calendar, then your built-in availability. Choose Built-in calendar in the Calendly box to stop booking on Calendly without disconnecting it.
Messages you might see
Each message in the Calendly box, and what to do about it.
- Paste a Calendly personal access token: what you pasted is not a token. Copy it again from Calendly.
- Calendly rejected that token: the token was deleted or mistyped. Create a new one and paste it.
- Calendly will not let this token book: the plan is not a paid plan, or the token is missing scheduled_events:write. Upgrade or create a token with that permission.
- This Calendly account has no one-on-one event types: create one in Calendly, then refresh the page.
- Booking paused, with Reconnect Calendly: the saved token stopped working. Paste a new one; your setter keeps replying to leads in the meantime.
Disconnecting
Press Disconnect Calendly, then Yes, disconnect. The setter goes back to your next calendar in the order above. To fully revoke access, also delete the token in Calendly.
Questions people ask
- Does the setter use my SetMore AI open hours or Calendly's?
- Calendly's. Once a Calendly event type is chosen, the times offered are the open times on that event type, so set your hours, buffers and notice in Calendly.
- Will the lead get reminders from both Calendly and SetMore AI?
- Calendly sends its usual emails. SetMore AI sends the text reminder before the call. SetMore AI does not give Calendly the lead's number for Calendly's own text reminders, so the lead does not get two texts.
- Can a team member connect Calendly?
- Only an owner or admin can connect it or change the event type. Anyone else sees a message saying so.
