Playbook: gyms and studios

Book tours for new and nervous leads, with your intro offer written down so the setter never invents one.

Settings to use

Open Settings, Agent tab. Set Industry to Service and Personality to Friendly: warm and easy going, still brief. People texting a gym are often new and a little unsure, and friendly keeps it light.

Service is the industry for gyms, med spas and home services. With it set, the setter already knows:

  • Leads want to know what it costs, how soon they can start, and where you are.
  • It asks one question, what they want or how soon, then books.
  • It quotes only the prices and offers you give it.
The Agent tab in Settings with Industry set to Service, Personality set to Friendly, and the gym questions and playbook entries filled in.

Qualification questions

Paste these into Qualification questions, one per line. The setter asks one of these per conversation, the one it needs to book, then offers two times. A money question always comes last.

  • Have you trained at a gym before, or would this be new?
  • What's your main goal right now?
  • Are you interested in classes, personal training, or open gym?
  • What times of day can you usually make it in?

Objection playbook

Paste these into Objection playbook and replace anything in square brackets. On a real objection the setter first asks one short question to find the actual reason, once per conversation. The next turn it answers from your entry in one sentence and offers two times again.

  • Intro offer: [Describe the current offer and when it ends].
  • Price: Memberships run [your range] depending on [classes, training, contract]. The tour is where you pick what fits.
  • New or nervous: New is who the tour is for. A coach shows you around and where to start, before you decide anything.
  • Too busy: The tour is short. Pick the time that fits your week.
  • Already a member elsewhere: The tour shows you what's different here. If it's not for you, no hard feelings.

A sample thread

What a booked thread looks like with these settings, assuming your playbook describes the current intro offer. Each setter line goes out as its own text. The lead is unsure, so the setter spends its one probe on it.

  • Lead: hey it's Ana, saw your intro offer, is it still going?
  • Setter: Hi Ana, still going
  • Setter: Have you trained at a gym before, or would this be new?
  • Lead: kind of new, mostly home workouts
  • Setter: Home workouts count. Tue 6pm or Sat 10am for a tour?
  • Lead: kinda nervous about it honestly
  • Setter: Is it the gym itself, or not knowing where to start?
  • Lead: not knowing where to start
  • Setter: That's what the tour is for, a coach shows you where to start
  • Setter: Tue 6pm or Sat 10am?
  • Lead: sat
  • Setter: Sat 10am, locked in
  • Setter: What's a good email to shoot the invite to?
  • Lead: ana@example.com
  • Setter: I'll send the invite there. See you Sat

What to leave out

Three things to keep out of your questions and playbook.

  • Offers you have not written down. The setter never invents a price, discount or deadline; with no entry it says it will check with the team.
  • Weight and health questions. Leave them for the coach on the tour.
  • Countdown pressure. The setter never manufactures urgency, so spots-are-filling-up lines will not appear in its texts.

Questions people ask

Can it book tours and personal training consults?
It books a time from your availability. What that time is for, a tour or a consult, is what your questions and playbook say. There is one slot length per workspace, set in Settings, Calendar.
What if a lead goes quiet after asking about the offer?
The setter follows up up to three times, 24, 48 and 48 hours apart. Each follow-up is one short text, and the last one says it is the last.
