Playbook: dentists and orthodontists

Turn 'how much is a cleaning' into a booked visit, with health history and insurance detail left for the exam.

Settings to use

Open Settings, Agent tab. Set Industry to Service and Personality to Warm: kind and personal, and it acknowledges what the lead said before it asks the next thing. Many patients are anxious about dental visits, and that tone meets them where they are.

Service is the industry for dental and ortho practices, home services companies and gyms. With it set, the setter already knows:

  • Leads want to know what it costs, how soon they can come in, and whether you are near them.
  • It asks one question, what they want done or how soon, then books.
  • It quotes only the prices and area you give it. With no price, it names what the price depends on and says the visit is where it gets set.

Qualification questions

Paste these into Qualification questions, one per line. The setter asks one of these per conversation, the one it needs to book, then offers two times. A money question always comes last.

  • Which treatment are you looking for, or is this a checkup?
  • Have you been seen here before, or would this be your first visit?
  • How soon are you hoping to come in?
  • Do you have dental insurance?

Objection playbook

Paste these into Objection playbook and replace anything in square brackets. On a real objection the setter first asks one short question to find the actual reason, once per conversation, then answers from your entry in one sentence and offers two times again.

  • Price: [Treatment] runs [your range] depending on [what changes it]. The exact cost gets set at the visit.
  • Nervous or first time: Nothing happens until you're comfortable with the plan. The visit starts with a look and a conversation.
  • Insurance: [Your insurance policy, or: The office confirms your benefits at the visit].
  • Just want a price: The range is [your range]. Your exact cost depends on what the exam finds.
  • Pain right now: [Your same-day or urgent policy, or: I'll get someone from the office on this now].

A sample thread

What a booked thread looks like with these settings, assuming your playbook says you take new patients. Each setter line goes out as its own text.

  • Lead: hi do you take new patients, need a cleaning
  • Setter: We take new patients
  • Setter: How soon are you hoping to come in?
  • Lead: this week if possible
  • Setter: Wed 9am or Fri 2pm?
  • Lead: how much is a cleaning
  • Setter: Depends on insurance and what the exam finds, won't throw a random number by text
  • Setter: Wed 9am or Fri 2pm?
  • Lead: fri works
  • Setter: Fri 2pm, locked in
  • Setter: Who do I put it under?
  • Lead: Rachel
  • Setter: Thanks Rachel. What's a good email to shoot the invite to?
  • Lead: rachel@example.com
  • Setter: I'll send the invite there. See you Fri

What to leave out

Three things to keep out of your questions and playbook.

  • Health history and medications. Leave them for the visit. The setter never asks for medical records.
  • Insurance coverage detail. It can ask whether you have insurance, but the office confirms benefits at the visit.
  • Treatment guarantees. The setter never calls a result typical and never says a treatment is guaranteed.

Questions people ask

Will the setter quote what a cleaning or treatment costs?
Only the prices you give it. With none, it names what the cost depends on and says the visit is where it gets set.
Which Industry should a dental or ortho practice pick?
Service. It is written for local service businesses such as dental practices, home services companies and gyms: what it costs, how soon, and whether you are nearby.
