Step by step
Open Settings, Calendar
You need to be an owner or admin of the workspace. In SetMore AI open Settings, then the Calendar tab, and find the Zoom webinars box.
Press Connect Zoom
Zoom opens and asks you to sign in and allow SetMore AI to see your profile, your webinars and their registrants. Press Allow. You come back to Settings and see Zoom is connected.
Pick the webinar on its sequence
Open Outbound and the webinar sequence you send registrants. In the Zoom webinar field, choose the webinar from the list of your upcoming webinars and save the sequence.
Check a registrant's link
Register for the webinar yourself with your mobile number. Within about 15 minutes your registration is picked up, and the next text the sequence sends you carries your own join link instead of the shared one.
What the Zoom connection does
Zoom gives every registrant of a webinar their own join link, which is how Zoom knows who attended. Without the connection, everyone is texted the same shared link. With it, SetMore AI texts each registrant their own link.
About every 15 minutes, SetMore AI reads the approved registrants of the webinars you picked and matches each one to a contact by phone number, or by email when the registration has no phone. A registrant who cancels is removed at the next check. Anyone not matched still gets the shared link you entered on the sequence.
What SetMore AI can see in Zoom
The connection is read only. SetMore AI never creates, changes or deletes anything in your Zoom account, and never joins or records a meeting.
- Your Zoom profile: your name and email, to show which account is connected.
- Your webinars: titles and start times, so you can pick one on a sequence.
- Registrants of the webinars you picked: name, email, phone and their personal join link.
What is stored, and for how long
SetMore AI stores the sign-in token Zoom issues, encrypted, and each matched registrant's join link against their contact. Nothing else from Zoom is kept.
Both are deleted when you disconnect Zoom or remove the app from your Zoom account. Your choice of webinar on each sequence stays, so reconnecting picks up where you left off.
Removing the Zoom app
You can remove the connection from either side. Both delete the stored token and every join link that came from Zoom.
- In SetMore AI: Settings, Calendar, Zoom webinars, press Disconnect, then Yes, disconnect. SetMore AI also revokes its access at Zoom, unless another SetMore AI workspace you manage is connected to the same Zoom account.
- In Zoom: sign in at marketplace.zoom.us, open Manage, then Added Apps, find SetMore AI and press Remove. Zoom tells SetMore AI, which deletes the connection and its Zoom data. This disconnects every SetMore AI workspace connected to that Zoom account.
- After removing, registrants get the shared join link again.
Messages you might see
Each message in the Zoom webinars box, and what to do about it.
- Zoom stopped accepting this connection: the access was removed or expired in Zoom. Press Reconnect Zoom.
- Zoom did not finish connecting: the Zoom window was closed or access was not allowed. Nothing changed. Try again.
- Only an owner or admin can connect Zoom: ask an owner or admin of the workspace.
- Could not load your Zoom webinars right now: on the sequence, the shared join link still works. Refresh in a minute.

Questions people ask
- Does SetMore AI need a paid Zoom plan?
- You need a Zoom account that can host webinars, because the connection works with Zoom webinar registrants.
- Can SetMore AI change my webinar or message my attendees through Zoom?
- No. The connection only reads your webinars and their registrants. Texts go from your SetMore AI number, never through Zoom.
- Which webinars show in the list?
- Upcoming webinars hosted by the Zoom user who connected. For a webinar hosted by someone else on your Zoom account, paste its join link on the sequence instead.
