Playbook: property management and leasing

Book showings from rental leads without promising approval, deposits or availability by text.

Settings to use

Open Settings, Agent tab. Set Industry to Real estate and Personality to Friendly: warm and easy going, still brief. Rental leads text while comparing units, and a light tone keeps them talking.

Real estate is the industry for renting leads. With it set, the setter already knows the basics of your world:

  • It knows what matters here: buying, selling or renting, the area, the timeline, and whether they already have an agent. It asks about one, then offers times.
  • It never gives a valuation and never promises a price.
  • It never gives legal, tax or financing advice.

Qualification questions

Paste these into Qualification questions, one per line. The setter asks one of these per conversation, the one it needs to book, then offers two times. A money question always comes last.

  • Which property or unit are you interested in?
  • What's your target move-in date?
  • How many bedrooms are you looking for?

Objection playbook

Paste these into Objection playbook and replace anything in square brackets. On a real objection the setter first asks one short question to find the actual reason, once per conversation. The next turn it answers from your entry in one sentence and offers two times again.

  • Rent price: Pricing depends on the unit and current availability. The showing is where you get exact numbers and what's included.
  • Application or approval: [Your approval criteria]. I can't promise approval by text.
  • Deposit: [Your deposit policy, or: Deposit details are confirmed at the showing].
  • Is it still available: The team confirms current availability at the showing, since it can change fast.
  • Pet policy: [Your pet policy, or: Pet policy varies by unit, confirmed at the showing].

A sample thread

What a booked thread looks like with these settings. Each setter line goes out as its own text.

  • Lead: hi is the 2 bed on oak ave still available for rent?
  • Setter: The team confirms current availability at the showing
  • Setter: What's your target move-in date?
  • Lead: first of next month
  • Setter: Tue 4pm or Thu 10am?
  • Lead: what's the rent
  • Setter: Pricing depends on the unit and current availability
  • Setter: The showing is where you get exact numbers. Tue 4pm or Thu 10am?
  • Lead: thu
  • Setter: Thu 10am, locked in
  • Setter: Who do I put it under?
  • Lead: Priya
  • Setter: Thanks Priya. What's a good email to shoot the invite to?
  • Lead: priya@example.com
  • Setter: I'll send the invite there. See you Thu

What to leave out

Three things to keep out of your questions and playbook.

  • Valuations or price opinions. The setter will not give one, so a playbook entry that tries only confuses it.
  • Approval, deposit, or availability promises you have not written. A question your playbook does not settle gets handed to your team.
  • Income, savings, debt or credit score. The setter never asks these.

Questions people ask

Can this playbook handle both leasing and property management leads?
Yes. With Industry set to Real estate the setter knows a lead may be buying, selling or renting. Keep your questions focused on the unit and timeline, and one playbook covers rental leads.
Will the setter promise a rent price or approval by text?
No. It never gives a valuation or promises a price, and it never promises approval. It names what a number depends on and offers two times for the showing where it gets settled.
