What an AI appointment setter costs in 2026

The sticker price of an AI appointment setter is rarely the whole price. This is what the four common pricing models actually cost once you add the CRM, the phone number, and the messages.

Four ways vendors charge for AI appointment setting

Every AI appointment setter on the market bills in one of four ways: a flat monthly subscription, a per-appointment fee, an add-on inside a CRM you already pay for, or a usage meter on messages and minutes. Most vendors combine two of them, and the combination is what decides your real cost, not the headline number on the pricing page.

The right way to compare them is to price one month of real use: one number, the CRM the tool needs to run, the messages it will send, and whatever it charges when it books. Do that for each option and the cheapest headline is often the most expensive month.

  • Flat monthly: one price, usually with a cap on agents, numbers, or seats. Predictable.
  • Per appointment: a low base plus a fee for every booked call. Cheap when nothing books, expensive when it works.
  • CRM add-on: the setter is a feature inside a platform like GoHighLevel, so you pay for the platform first.
  • Usage metered: you pay per message segment or per minute of AI, on top of a base plan.

What the models cost side by side

The table prices one month for a single business with one dedicated number and a normal inbound volume. Vendor prices are ranges observed across published pricing pages in September 2026. Vendors change pricing without notice, so confirm the current page before you decide.

The three costs that hide under the headline

The CRM requirement is the largest. Many AI setters aimed at agencies and coaches are built to run inside GoHighLevel, which means the setter's price sits on top of a platform subscription you may not otherwise need. If you already run that platform for every client, the add-on is genuinely cheap. If you do not, the platform fee is the real price of the setter.

The phone number is the second. A dedicated number that leads can text back is a monthly line cost somewhere. Some vendors include it, some list it as a per-number fee, and some use a shared number that cannot be texted back, which quietly removes the reply rate you were paying for. Ask whether the number is yours, whether it is dedicated, and whether it supports iMessage or only SMS.

Messages are the third. Metered plans bill per SMS segment, and a friendly two-sentence reply often runs to two segments. A follow-up cadence that sends three nudges to every unanswered lead triples the meter. Flat plans that include messaging remove this variable entirely, which is why they look more expensive up front and cheaper by the end of the month.

How that compares with a human setter

A part-time human appointment setter in the United States is typically paid hourly plus a per-booking bonus, and a full-time one is a salary with benefits. Offshore setters cost less per hour and more in management time. Either way the number that matters is the same: cost per booked, kept appointment.

Software does not replace a great human setter on complex, high-ticket sales conversations. What it replaces is the first five minutes, the evening and weekend replies, and the follow-up nobody remembers to send. Price it against those hours, not against your best closer, and the comparison is honest.

  • Human: pays for hours whether or not leads come in, and stops replying at the end of the shift
  • Software: pays per month whether or not leads come in, and replies at 2 a.m. on a Sunday
  • The best setups use both: software books the first call, a person runs it

What SetMore AI charges, and what it does not

SetMore AI publishes two plans. Business Owner is $197 per month, or $1,970 per year when billed annually, for one AI agent and one dedicated iMessage number with inbound replies, calendar booking, and analytics. Agency is $297 per month and adds white-label sub-accounts at $129 each per month, each with its own number and branding.

There is no CRM requirement, no per-message fee, and no per-booking fee. Every plan starts with a 7-day free trial with a card on file, and you can cancel from the billing page at any time. Follow-up sequences are not live yet; when they ship they are included in every plan at no extra cost, which is stated on the pricing page rather than sold as a feature today.

That is not the cheapest headline in the category. Appointwise, for example, published an entry tier at $97 per month as of September 2026, so confirm the current page before you compare. SetMore AI is designed to be the cheapest full month for a business that does not want to run a second platform underneath its appointment setter.

A checklist before you sign up for anything

Price one real month for every option on your shortlist. If a vendor cannot answer any of these in writing, treat the answer as a cost you have not seen yet.

  • Does it need a CRM to run, and what does that CRM cost per month?
  • Is the phone number dedicated, texted back, and included in the price?
  • Does it support iMessage, or SMS only?
  • Are messages metered? What does one two-sentence reply cost?
  • Is there a fee per booked appointment?
  • What happens to the number and the conversation history if you cancel?

Questions

How much does an AI appointment setter cost per month?

Published flat plans in 2026 run from about $97 to $497 per month. Add the CRM if the tool requires one, the phone number if it is not included, and message fees if the plan is metered. SetMore AI is $197 per month for Business Owner and $297 per month for Agency, with the number and messages included.

Is a per-appointment fee cheaper than a flat subscription?

Only when the setter is not booking much. A per-booking fee of $10 to $50 overtakes a flat plan quickly once the tool is working, which is the month you least want to be surprised.

Does SetMore AI require GoHighLevel or another CRM?

No. SetMore AI runs standalone with its own number, calendar booking, and conversation inbox. You can connect a calendar, but no platform subscription is required underneath it.

Is there a free trial?

Yes. Every SetMore AI plan starts with a 7-day free trial with a card on file. You are not charged until the trial ends, and you can cancel from the billing page at any time before that.
